Booking Terms & Conditions
Your booking is subject to our Agency Booking Conditions and the specific terms and conditions of the Supplier Booking Terms below. These will also be available to view on your booking record in your account at any time. In the event of any discrepancy, the Cancellation Policy below will apply.
Please note, we act only as an agent in respect of all bookings we take and/or name on your behalf.
On this booking, your contract is with Beyond the Valley (the supplier) of 255MB, Phase 6, DHA, Lahore, Pakistan, 54000, Pakistan, who is the Package Organiser. Company registration number: 9640594.
Supplier Terms
BEYOND THE VALLEY SUPPLIER BOOKING TERMS AND CONDITIONS
These terms apply to all trips operated by Beyond the Valley LLP ("BTV," "we," "us") and booked through the Much Better Adventures platform. BTV is a company registered in Pakistan (company number 01953054), licensed by the Department of Tourism Services, Punjab Pakistan (DTS), with its registered office at 1st Floor, 255, MB Phase 6/C DHA, Lahore, Punjab, Pakistan 54792.
BTV acts as the Package Organiser for all trips listed on the Much Better Adventures platform. These Supplier Booking Terms are supplementary to the MBA Customer Booking Terms and should be read alongside them. In the event of any contradiction, the MBA Customer Booking Terms shall prevail.
These terms are valid from 3 March 2026.
- ITINERARY ADJUSTMENTS AND FORCE MAJEURE
All itineraries are provided as a guide and may be subject to change. BTV reserves the right to modify the itinerary, accommodation, activities, or route at any time before or during the trip due to weather conditions, road closures, government restrictions, safety concerns, natural disasters, political instability, public health emergencies, or other circumstances beyond our reasonable control.
Where significant changes are necessary, we will inform you as early as possible and make every reasonable effort to provide an alternative of comparable standard. No compensation is payable where changes are caused by force majeure or circumstances beyond our control.
- FITNESS AND PREPARATION REQUIREMENTS
Our trips involve physical activity including trekking at altitude, hiking on uneven terrain, and extended periods of outdoor exposure. It is your responsibility to ensure you are physically fit and adequately prepared for the demands of the trip you have booked.
You must disclose any pre-existing medical conditions, injuries, allergies, or dietary requirements at the time of booking or as soon as they arise. Failure to disclose relevant medical information may result in your removal from the trip at our discretion, with no entitlement to a refund.
BTV reserves the right to refuse participation or remove any customer from a trip if, in the reasonable opinion of the trip leader or guide, continuing poses a risk to the safety or wellbeing of that customer or the group.
- CUSTOMER BEHAVIOUR
All customers are expected to behave responsibly and respectfully towards fellow travellers, guides, local communities, and the natural environment throughout the trip.
BTV operates in culturally sensitive regions. Customers are expected to follow the guidance of guides and trip leaders regarding local customs, dress codes, and behaviour.
We reserve the right to remove any customer from a trip, without refund, if their behaviour is disruptive, dangerous, or in violation of local laws. This includes, but is not limited to, the use of illegal substances, excessive alcohol consumption that affects the group, harassment or abusive conduct, and failure to follow safety instructions.
- EQUIPMENT USE AND LIABILITY
BTV may provide equipment for certain activities during the trip (such as trekking poles, camping gear, or safety equipment). Any equipment provided remains the property of BTV or its local partners.
Customers are responsible for any loss of or damage to provided equipment caused by negligence or misuse. BTV reserves the right to charge for replacement or repair costs.
BTV is not responsible for loss of or damage to your personal belongings during the trip, including luggage, electronics, travel documents, or valuables.
- TRAVEL INSURANCE
All customers are required to hold comprehensive travel insurance that covers the specific activities included in the trip. For our Pakistan trips, this must include cover for trekking at altitude (up to 5,000m or higher depending on the itinerary), helicopter evacuation from remote mountain areas, and medical treatment.
Standard travel insurance policies may not cover adventure activities. It is your responsibility to verify that your policy covers all activities listed in the itinerary, including trekking, camping at altitude, and any optional adventure activities.
You must carry proof of your insurance policy during the trip and provide your policy details when requested via the MBA Passenger Information Form.
- PASSPORT, VISA, AND ENTRY REQUIREMENTS
It is your responsibility to ensure you hold a valid passport and any required visas for entry into Pakistan (or the relevant destination country) for the full duration of the trip.
BTV will provide general guidance on visa requirements upon request, but we accept no liability for any customer who is denied entry, deported, or unable to travel due to incorrect or insufficient travel documentation.
Passport validity requirements, visa processing times, and entry rules vary by nationality and can change at short notice. We recommend checking with the relevant embassy or consulate well in advance of your departure.
- LIMITATION OF LIABILITY
BTV acts as Package Organiser and accepts responsibility for the proper performance of the travel services included in the trip, in accordance with applicable Package Travel Regulations.
Our liability is limited as follows:
(a) We do not accept liability for any injury, illness, death, loss, damage, expense, or other claim of any nature that results from the act or omission of the customer, unforeseeable or unavoidable actions of a third party unconnected with the provision of travel services, or unavoidable and extraordinary circumstances (force majeure).
(b) Where we are found liable for any loss or damage, our liability is limited to three times the total trip price paid by the customer, except in cases of personal injury or death caused by our negligence.
(c) We do not exclude or limit liability for death or personal injury caused by our negligence, or for fraud or fraudulent misrepresentation.
(d) We arrange services through third party local suppliers (accommodation providers, transport operators, activity providers). Where those suppliers are governed by international conventions (such as the Montreal Convention for air travel), our liability will be limited in accordance with those conventions.
- LEAVING THE TRIP EARLY
If you choose to leave the trip early for any reason, you must inform the trip leader. BTV will make reasonable efforts to assist with onward travel arrangements where possible, but any additional costs incurred (transport, accommodation, meals) will be your responsibility.
No refund is payable for unused portions of the trip.
- COMPLAINTS AND COMPENSATION
If you have a complaint during the trip, you must raise it with the trip leader or guide at the earliest opportunity so that we can attempt to resolve the matter promptly.
If the issue cannot be resolved during the trip, you may submit a formal complaint via the Much Better Adventures platform after your return. Complaints should be submitted within 28 days of the trip end date.
BTV will work with Much Better Adventures to investigate complaints and reach a fair resolution in accordance with the MBA complaints procedure and applicable Package Travel Regulations.
- PERSONAL DATA AND PRIVACY
BTV collects and processes personal data (including names, passport details, medical information, dietary requirements, and emergency contacts) for the purpose of operating your trip safely and in compliance with local regulations.
Your data may be shared with local ground operators, accommodation providers, relevant government authorities (for permits, visa processing), and emergency services where necessary.
BTV handles personal data in accordance with applicable data protection laws, including the UK General Data Protection Regulation (UK GDPR) and EU General Data Protection Regulation (EU GDPR) where applicable. Restricted Area Trekking Permits and Data Sharing
The "Trek the Giants of Pakistan's Karakoram Mountains" trip operates in a Restricted Area of Gilgit-Baltistan, and as such requires a Government of Pakistan "Application Form for Trekking in GB Restricted Areas (Below 6500 Meters)" to be submitted as part of the visa application process for all customers booked on the relevant departure.
This form requires one customer on each departure to be named as Group Leader, and another as Deputy Leader. By booking on this trip, you acknowledge and agree that, for the sole purpose of obtaining visas and restricted-area trekking permits for your departure, your full name may be shared with other customers booked on the same departure via this form — and that, should you be named as Group Leader or Deputy Leader, your full name will appear on the restricted-area trekking permit forms of your fellow group members for this purpose.
No other personal data (including passport details) is shared between customers as part of this process.
- IN-COUNTRY ASSISTANCE
BTV provides full in-country support throughout the duration of the trip. A local trip leader or guide will accompany the group at all times during scheduled activities.
In the event of an emergency, BTV will coordinate with local authorities, medical facilities, and Much Better Adventures' incident management support (Pharos Response) to ensure appropriate assistance is provided.
An emergency contact number will be provided to all customers prior to departure.
- GOVERNING LAW AND JURISDICTION
These Supplier Booking Terms are governed by and construed in accordance with the laws of England and Wales, in compliance with the Package Travel and Linked Travel Arrangements Regulations 2018 (UK) and EU Directive 2015/2302 on package travel.
Any disputes arising from these terms or your trip shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Cancellation Policy
This cancellation policy applies for all future bookings. This may differ from the policy that applies to an existing booking. Please check your booking for details.
In the event of any discrepancy with the Supplier Terms, the cancellation terms shown below will apply.
Cancellations
- Cancellations up to 65 days before departure will result in your deposit being converted into account credit and any remaining cash balance being refunded.
- Cancellations 64-31 days before departure will be subject to a cancellation fee of 50%, and any remaining cash balance being refunded.
- Cancellations fewer than 30 days before departure will not be refunded.
Trip Preparation
- You confirm that you have read and understood the trip level information and that you will be physically prepared for the trip you are booking.
- You confirm that you have read the kit list and that you will bring the items specified by the host to ensure you are prepared for your adventure.
- You agree that you will complete the Passenger Information Form promptly after booking your trip.
- You confirm that you have reviewed the arrival and departure details and that you will ensure your travel aligns with the trip start and end times provided.
Private Groups
- For customers wanting a private group departure - you must request this via our Customer Experience Team before booking. When booking as a Private Group, note that different cancellation terms apply to the ones shown above. You can view these in our Private Group Terms.
Age Requirements
- All passengers must be aged 18 or over.
Insurance
- You will need comprehensive medical travel insurance to join our trips, and we recommend adding cancellation cover. Travellers often use adventure specialists like True Traveller (UK/Europe) or Rise + Shield for broad activity coverage.
Cancellations By The Host
- If your trip has to be cancelled at any time up to the departure date due to exceptional events such as natural disasters or sudden border closures you will be offered a choice to move your date, account credit, or a full refund on any cash payments. Choices are final once made.
Itinerary
- The nature of adventure travel requires considerable flexibility. Your host will endeavor to operate all trips as described in the itinerary but it must be understood and agreed that the host reserves the right to alter the route, distances, activities and amenities due to weather, group ability or unforeseen local circumstances.
